Summary: Responsible for providing administrative support to the Chief Operations Officer and the Director, Human Resources in an efficient and productive manner. This role requires independent judgment, initiative, confidentiality, tact, and a high degree of organization to proactively solve a variety of problems.
Duties and Responsibilities:
Handles various project-oriented tasks, which involve obtaining information from within the organization as well as outside, with consistent follow through to completion.
Works closely with the Director, Executive Administration on appointment schedules and meeting materials involving the COO and Director, HR.
Responsible for taking and distributing minutes at meetings of the Audit, Finance, and Compensation and Benefits committees and other meetings as needed. Assists in preparing agendas and other pertinent materials for meetings as needed.
Maintain the employee database and assist with monthly billing for employee benefits.
Maintain the document retention and distribution policy as well as the business continuity plan.
Submit online job postings, shortlist candidates and schedule job interviews.
Coordinate orientation and training sessions for new employees.
Ensure smooth communication with employees and timely resolution to their inquiries.
Works in collaboration with the full Operations team to provide the highest level of customer service and organizational success.
Independently handles correspondence, telephone calls and filing duties. Assists in editing, production and mailing of correspondence, reports, and other communications as needed.
Supporting Building Services and Facilities with day to day inquires
Performs other administrative duties as assigned.
Knowledge, Skills, and Abilities:
2-4 years experience as a high level administrative assistant
Associate’s or Technical Degree, Bachelor’s Degree preferred
Strong project and time management skills Strong proficiency in Microsoft Office software specifically Outlook, Word and Excel. ADP experience preferred.
Strong database management skills with a high accuracy rate.
Strong written and verbal communications.
