POSITION STATUS: This is a full-time, state funded, AFSCME, Unit I, Grade 13, classified position with benefits.

SALARY: $46,888.66 annually.*

*Appointments from outside the bargaining unit begin at Step 1.

STATEMENT OF DUTIES:

The Clerk IV will provide clerical, operational, and organizational support for the Pre-College TRIO programs Director and the programs professional staff, instructors, tutors, and support staff, in support of the mission of the Upward Bound and the Educational Talent Search Programs, both federally funded TRIO programs serving first generation, low-income youth.

The Clerk IV supports the daily operations of the Upward Bound and Talent Search Programs; and will utilize web-based technology and traditional data entry processes to complete supplemental functions including, but not limited to, processing TRIO applications, preparing grant reports, academic reports, documents, letters, surveys, exams, and other related program office documents; prepares mailings to participants and parents, and assists in assembling information packets for workshops; monitors and performs file maintenance for participants’ records; sets up individual student files, inputs and maintains student data in Talent Search and Upward Bound databases and spreadsheets; assists Programs Director in maintaining a calendar of appointments and scheduling meetings; preparing state and federal grant reports; creates spreadsheets to compile statistical for internal/external reports and grants; assist in preparation, maintenance, and tracking of program budgets and expenditures; prepares appropriate forms, requisitions, travel vouchers, and invoices; generates monthly, quarterly and year-end Talent Seach and Upward Bound participants service statistics; types program meeting minutes; staff, instructor and tutor schedules; maintains a library of Talent Search & Upward Bound program workshops and resources; manages the on-line ordering and maintenance of office supplies thought College selected vendors; utilizes College’s software to run various reports; process personnel action forms, timesheets, computer and telephone access forms, and other forms; compiles weekly attendance reports; operates standard office equipment, including PC’s, printers, copier, fax machine, and multi-line phone system. Coordinates meetings during program events and activities on campus, and, on occasion, off campus at program summer locations and middle and high school sites; assists in planning and coordination of workshops for students throughout the school year including developing and distributing related materials; assists with planning and coordinating college visits, field trips and other special events to Talent Search and Upward Bound students, including TRIO Day. Assist in preparation and organization of academic and recreational materials for summer program residency and in the relocation and storage of materials following summer programs. Supervise work-study students assigned to area. Performs related administrative and student service duties as assigned or requested.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

• Manage the daily operations of TRIO Department
• Provide clerical support to the TRIO Department
• Operate standard office equipment including a personal computer, printer, copier, fax machine, etc.
• Utilize software applications, including Microsoft Office 365 (Word, Excel, Publisher, Outlook, and Access) to produce and develop letters, reports, brochures, mail merges, etc. Utilize the TRIO Department Student Information System (MIS) software, including but not limited to Blumen, Banner, accessBCC, and campus event management system to fulfill office functions and reporting needs.
• Maintain detailed office records in accordance with established guidelines via manual and automated processes.
• Prepare and/or process personnel actions and standardized forms, as necessary.
• Demonstrate a sense of professionalism and consistently reflect Bristol’s core values while interacting with members of the Bristol community.
• Perform other duties as assigned, consistent with the Collective Bargaining Agreement

Job Requirements:
EDUCATION AND EXPERIENCE:

REQUIRED QUALIFICATIONS:

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience. *

*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

• Reliable transportation to travel to and from meetings, trainings, or campus and community locations as required.

PREFERRED QUALIFICATIONS:

• Fluency in Spanish or Portuguese, including verbal and written communication.
• Minimum of an Associate degree.
• Minimum of three years of experience working with technology and student information and data management systems, preferably Banner and Argos.
• Demonstrated experience using Microsoft Office (Outlook, Word, and Excel).
• Strong analytical and problem-solving skills.
• Professional experience with admissions/enrollment procedures in a college setting.
