POSITION TITLE: Clerk IV – Transfer and Career Services (Part-time)

 

PRIMARY LOCATION: Fall River, with occasional travel to all Bristol campus locations.

 

REPORTS TO: Director of Transfer and Career Services.

 

SUPERVISION EXERCISED: Work-Study students.

WORK SCHEDULE: 18.5 hours per week; Final schedule to be discussed upon hiring.

 

POSITION STATUS: This is an AFSCME part time, state funded, unit position without benefits.

 

SALARY: $24.05 per hour*

 

*Appointments from outside the bargaining unit begin at Step 1.

 

STATEMENT OF DUTIES:

 

Provide administrative, operational, and organizational support for Transfer and Career Services. Deliver direct guidance to students as the primary reception person for the area and support students as they utilize Transfer and Career Services to determine their next steps after Bristol. Maintain office records and develop reports. Organize special events and activities. Develop promotional materials. Respond to student, parent, faculty, staff, employer, and other inquiries by phone, in person, and via email; and generate routine correspondence to students, faculty, staff and administrators.

 

DUTIES AND RESPONSIBILITIES:

 

• Support the daily operations of Transfer and Career Services.

• Provide administrative support to the professional staff.

• Provide reception to visitors to Transfer and Career Services.

• Maintain data and records of student experiences in Transfer and Career Services; create routine and ad hoc reports.

• Aid in connecting students/clients to services by providing guidance, support, and direction.

• Maintain an electronic resource library; maintain detailed office records in accordance with established guidelines.

• Assist managing files and organization of the department’s network drive.

• Assist the department with the review, revision and implementation of various programs, events, and activities. Support the coordination of special events, including Transfer College Days, Job Fairs, Recruitment Days, and more.

• Operate standard office equipment.

• Utilize software applications, including Microsoft Office (Word, Excel, Publisher, Outlook, Access) to produce letters, reports, brochures, mail merges.

• Develop flyers and publications for events and general marketing/promotion, along with managing social media content for Transfer and Career Services.

• Manage office supplies by taking inventory, placing orders, and tracking the supply budget.

• Utilize Banner, Argos, accessBCC, DegreeWorks, EAB Navigate, and CourseDog to fulfill office functions and reporting needs.

• Provide support for tracking departmental budgets and accounts and complete various budget forms as needed.

• Train and supervise Work Study students.

 

Job Requirements:

EDUCATION AND EXPERIENCE:

 

REQUIRED QUALIFICATIONS:

 

• Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

 

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.

 

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.

 

III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.

 

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.

 

*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

 

NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

 

• Excellent oral and written communication skills; experience working with individuals from various socioeconomic, racial, ethnic, or cultural minority groups; advanced knowledge/skill using Microsoft Office (Word, Publisher, and Excel); strong analytical and organizational skills; and strong customer service and problem-solving skills, along with the ability to work independently as needed, experience working with confidential information, and the ability to be compassionate toward others.

 

PREFERRED QUALIFICATIONS:

 

• Associate’s degree or higher

• Experience using Banner and Argos

• Understanding of the community college environment

• Ability to speak a language in addition English

• Knowledge of state budgetary procedures

• Proficiency and with Adobe Suite (particularly Acrobat, Photoshop, and Illustrator)

• Experience in Career Services or Transfer Services
