Summary: The Administrative Assistant, Corporate Relations is responsible for performing a wide variety of development, database management, events, and administrative duties to support the successful operation of the Corporate Relations Department. As an essential staff member, this role requires independent judgment, initiative, tact, and a high degree of organization to proactively solve a variety of problems. Provides direct support to the entire Corporate Relations Team.
Duties and Responsibilities:
Independently handles correspondence, telephone calls, and filing duties. Assists in editing, production, and mailing of correspondence, reports, and other communications. Responds promptly to volunteer and donor inquiries, requests, or problems by researching and compiling information
Independently produces campaign materials via running reports, data mining, mail merging documents, and manipulating large quantities of data in Excel.
Proactively responsible for the integrity of the database to ensure all corporate and associated donors accounts and records are accurate and error-free. Performs account maintenance on an ongoing basis.
Responsible for pledge processing complying with data standards to ensure the highest quality data inputs.
Trains and supervises Ambassador Administrative Assistant during the employee giving campaign season.
Works in collaboration with the full Resource and Engagement team to provide the highest level of customer service and organizational success. Partner with other staff on special projects.
Assists with the planning and execution of events and activities in Corporate Relations including Campaign Leaders and other events. Sets up and maintains event details in the database system before, after, and during events. Attend events, when required.
Coordinates post-event volunteer thank you processes. Writes weekly volunteer opportunities column.
Performs other clerical duties as assigned (i.e. daily mail processing, campaign material inventory, switchboard back-up, etc.)
Knowledge, Skills, and Abilities:
2-4 years experience as a high-level administrative assistant
Associate’s or Technical Degree, Bachelor’s Degree preferred
Strong project and time management skills
Strong proficiency in Microsoft Office software specifically Outlook, Word, and Excel
Strong database management skills with a high accuracy rate
Strong written and verbal communications
Strong customer service experience
Event support experience preferred
