Summary: The Administrative Assistant, Policy & Data supports the day-to-day activities and larger initiatives of Policy and Equity as well as the Research and Data Analytics Teams.  This position performs a wide variety of duties under limited supervision within a framework of standard policies and procedures.  Assigned tasks require tact, independent judgment, initiative, accuracy, and organization in solving a variety of problems.


Duties and Responsibilities:

Performs administrative duties such as document production, correspondence, proofreading, processing requisitions, processing mail, making copies/ information packets, and updating records.
Maintains select department schedules/calendars.
Provides organizational support with coverage at the front desk and periodic cross-departmental project support.
Maintains on-going knowledge of relevant technology to support and enhance department functions.
Assists with departmental meetings and public engagement events including meeting organization, selection of sites and all logistics; participant registration and confirmation activity.
Assists with meeting announcements, minute taking, and follows through on communications with volunteers and community participants.   Assists with design and preparation of related materials and presentations.
Responsible for setting up, running, and breaking down of needed presentation equipment.  Activity may also include securing and set up for breakfast and/or lunch meetings and appropriate room set up.
On-going maintenance of departmental volunteer and professional contact information and data base. Maintains and updates mailing lists depending on the needs of the department.
Assists with various project-oriented tasks and research, obtaining information from within the organization as well as outside and task specific on-line research. Assists with compiling and creating information/research material for presentation in electronic and/or hard copy format.
Customer service: Provide timely responses to email and/or phone inquiries from the community about United Way resources and funding opportunities.
Reporting & Evaluation: Support the collection of relevant data for internal and/or external reporting process.
Project management: Establish processes and utilize appropriate tools to effectively manage and monitor projects.
Have regular individual or team check-ins to assess and support department needs.
Participates on interdepartmental teams, committees, and other duties as assigned.
Knowledge, Skills, and Abilities:

Associate or technical degree, or 2-3 years of relevant experience
Proven experience in relationship building, problem solving
Excellent organizational skills
Effective listening and strong verbal and written communications skills, including public speaking skills
Strong people skills and an ability to relate to diverse groups and individuals.
Flexible and self-directed
Extensive knowledge of and comfortability with Microsoft Office (Word, Excel, PowerPoint, Teams)
Previous database management experience
Possess an intermediate level of computer literacy and high aptitude for learning software programs
Must possess excellent oral and written communication skills
